What’s New

Introduction

The Access Definitiv 3.25 release delivers a wide range of new features and enhancements across reporting permissions, time and attendance functionality, and leave management.
These improvements have been introduced to expand capabilities across the platform and to resolve customer-reported issues, further enhancing your overall experience.

Payroll - Reporting

Time Attendance Report - Project Manager permissions

  • Project Managers can now access the Time Attendance Report with appropriate filtering to see only their project data.

Note: This capability must be configured in User Roles before it becomes available. System administrators need to assign the Project Manager permission level to the relevant user roles.

Leave Applications Report - Line Manager permissions

  • Line Managers can now access the Leave Applications Report with appropriate filtering to see only their team members' data.

Leave Approvals Report - Line Manager permissions

  • Line Managers can now access the Leave Approvals Report with appropriate filtering to see only their team members' data.

Note: These capabilities must be configured in User Roles before it becomes available. System administrators need to assign the Line Manager permission level to the relevant user roles.

Pay Runs Report enhancement

  • Added "Pay Run Publish Date" column to the Pay Runs Report for better visibility of when pay runs were finalised.

Rostering

Roster project filtering for unassigned shifts

  • When adding roles as unassigned shifts to a roster, the system now enforces project filtering if you have selected specific projects in your Roster Options. The "Add Roles" drawer will only display roles and projects that match the projects you've specified in Roster Options, preventing accidental assignment to incorrect projects.

  • If you have a default project selected in Roster Options, it will automatically pre-fill in the Add Roles drawer for convenience.

Note: If no specific projects are selected in Roster Options, no filtering is enforced and all projects remain available.

Platform

Employee Workbook - Hours per day/week

  • Enhanced Employee Workbook to include Hours Per Day and Hours Per Week for Company Pay Policy assignments, with import/export support and validation against FTE hours.

IMPORTANT: The Employee Workbook format has changed with this enhancement. Old workbook files exported prior to this release will not be compatible with the new import process. You must complete a fresh export of the Employee Workbook after upgrading to this version before attempting any new imports. Attempting to import old workbook files will result in errors.

API enhancements

Two new API capabilities have been added to improve integration flexibility:

Employee Custom Fields API

  • Added new API endpoint for reading and writing specific employee custom fields without needing to update entire field sets. This allows for more efficient updates when working with individual custom field values.

Teams API enhancement

  • We're enhancing the Teams API to include position assignment start and end dates, providing more complete employee assignment history data.

Performance and stability improvements

  • Multiple under-the-hood improvements for better system performance, memory management, and overall stability.

Notable Fixes

Payroll:

Termination payment tax calculation fix

  • An issue where Pre-Tax Benefits and Salary Sacrifice Super were deducted twice from marginal tax calculation on Termination payments. These deductions are now only applied once, which can be confirmed in the earnings messaging, ensuring accurate tax withholding on termination payments.

  • This will only impact calculations going forward, unless the same pay period is reopened and the earnings need to be recalculated.

Time and Attendance:

End-of-day timesheet rounding fix

  • Corrected timesheet rounding logic for shifts ending near midnight to ensure proper date assignment.

Rostering:

Work schedule notifications

  • Fixed issue where employees received notifications for pending rosters to accept, but the Pending Rosters screen appeared blank with nothing to action. The system was incorrectly counting unaltered Work Schedule shifts in notification badges even though these shifts don't require acceptance.

  • The notification system now excludes unaltered Work Schedule shifts, ensuring notification badges accurately reflect actionable items and employees only receive notifications when there are genuinely shifts requiring review.

Leave:

Leave accrual balance accuracy improvements

  • Fixed calculation of leave accrual balances when leave has been processed but not yet paid, ensuring estimated balances display correctly on pay slips and employee balances.

Leave Applications and Leave Approvals Reports - Performance improvement

  • Improved the performance of Leave Applications Report and Leave Approvals Report generation. Previously, the system made a separate database query for each leave application when generating these reports, causing slow performance especially for organisations with many employees or leave applications. The system now uses a single optimised query, reducing report generation time for large data sets.

Reporting:

Leave Application Report - Project display fix

  • Fixed incorrect project display in the Leave Application Report.

Payroll Report (PDF) - Employee inclusion fix

  • Resolved issue where employees paid only reimbursements were excluded from the PDF Payroll Report.

Emergency Contacts Report - Assignment accuracy

  • Fixed the Emergency Contacts Report to return the active primary assignment instead of any primary assignment.

Pay Items Report (PDF) - Category ordering

  • Improved category ordering in the Pay Items PDF Report.

Time Attendance Report - Overnight shift handling

  • Corrected negative value display in the Time Attendance Report for time-based custom fields on overnight shifts.

Payroll Report (PDF) - Manual pay run filtering

  • Fixed filter application for "Backpay Only" manual pay runs in the PDF Payroll Report.

Platform:

Banking notification controls

  • Resolved issue where banking notification emails were being sent to new employees inappropriately.

Announcements visibility

  • Fixed announcements to display across all relevant pages, not just My Details and Organisation Details.

Project Work Order API validation

  • Enhanced Project Work Order API to prevent duplicate work order names and empty values.
