What’s New

This release 3.26 includes new features and enhancements to reporting permissions, rostering notifications, time and attendance, and leave management, along with various improvements across the platform. We've also resolved numerous customer-reported issues to improve your experience.

Reporting

Leave Balances Report - Line Manager permissions

Line Managers can now access the Leave Balances Report with appropriate filtering to see only their direct and indirect reports' data.

Note: This capability must be configured in User Roles before it becomes available. System administrators need to assign the Line Manager permission level to the relevant user roles.

Leave Balances Report - Project Manager permissions

Project Managers can now access the Leave Balances Report with appropriate filtering to see only leave balances for employees assigned to their managed projects.

Leave Applications Report - Project Manager permissions

Project Managers can now access the Leave Applications Report with appropriate filtering to see only leave applications for employees assigned to their managed projects.

Rostering

Roster Manager notifications on Roster Publish

Roster Managers can now be notified automatically when a roster they manage is published.

A new "Alert Roster Managers of changes on Roster Publish" option is available in the roster's Visibility settings. When enabled, assigned Roster Managers receive a summary email each time the roster is published, detailing exactly what has changed. The email includes a summary count of New, Updated, and Cancelled shifts, followed by detail tables for each category showing the date, employee name, start/end times, duration, breaks, and role. Only change categories with actual shifts are shown.

Note: The Roster Manager who performs the publish is intentionally excluded from the notification to avoid unnecessary email noise. No email is sent if there are no changes to the roster since the last publish. The option is automatically disabled when no Roster Managers are assigned to the roster.

Time and Attendance

TimeClock Single Project Restriction

TimeClock Device administrators can now configure a single project restriction on a timeclock device, automatically defaulting the project selection for employees clocking in and out using this device. This overrides roster and employee project settings to ensure accurate cost allocation and provides a definitive audit trail for organisations in regulated industries.

When a device restriction is configured:

  • The project field is automatically pre-filled and locked for employees.

  • The device setting takes precedence over roster and employee project assignments.

  • Timesheets are flagged for manual approval where the device project differs from the roster or employee project settings.

  • If the configured project is ceased or deleted, the system falls back to roster settings with a manual approval flag.

Leave

Leave Calendar enhancements - Phase 2

The Leave Calendar has received a number of improvements in this release, building on the Phase 1 foundation. Key changes include:

Scheduled leave is now visible in the team leave calendar

Fixed an issue where scheduled leave was not appearing in the new team leave calendar view.

Leave and Leave Application screens updated

The Leave and Leave Application screens have been updated to use the new team leave calendar.

Scheduled leave display honours accrual type settings

The display of scheduled leave versus leave applications now correctly honours the settings configured on the accrual type underlying the selected leave type, ensuring the calendar reflects the right leave category.

Tooltip improvements

  • The leave entry tooltip now follows the cursor rather than being fixed to the far left or right of the entry, making it easier to read in context.

  • Part day leave dates and times no longer overlap within the leave entry tooltip.

  • Truncated employee names (shown with ellipsis) now display a full name tooltip on hover.

Scrolling and layout fixes

  • Blank employee cards on secondary rows are now sticky and remain in position when scrolling horizontally.

  • A separator has been added between employee cards and day cells for clearer visual distinction when scrolling horizontally.

Calendar stability fix

Fixed a crash that occurred when clearing the start date field in the team leave calendar.

Row grouping logic improvement

Reworked the leave entry row grouping logic to filter records first before grouping, resolving an issue where blank rows were appearing in certain situations.

Notable issues resolved in this release:

Time and Attendance

Timesheet attachment button now available in production

Resolved an issue where the "Add Attachment" button on timesheets was not visible in production environments despite the correct permissions being enabled. Customers can now use the timesheet image attachment feature as intended.

Timesheets not auto-approving in multi-organisation environments

Fixed an issue where TimeClock timesheet auto-approval was failing for employees in organisations processed after the first in a multi-organisation batch. Work schedules are now correctly loaded for all organisations during processing.

Timesheet imports with blank break descriptions

Resolved an issue where importing timesheets with breaks that had no description would succeed at import but prevent the timesheet from being edited afterwards due to a validation mismatch. Imported timesheets now behave consistently with the frontend validation.

Timesheet approval flow stuck when submitted by Project Manager

Fixed an issue where a timesheet submitted by an employee who is also the Project Manager in an "All approvers must approve" workflow would remain stuck, preventing the next approver (Line Manager) from actioning it. The approval flow now correctly advances to the next step when the first approver is auto-approved.

Payroll

Pay run backpay caused by incorrect time and attendance source

Resolved an issue introduced by a prior data migration where pay runs were incorrectly using roster entry data instead of work schedule data as the attendance source for some employees, causing unexpected backpay adjustments when payruns were recalculated.

Tax Variation import failure for Tax Offset category

Fixed an issue where importing employee Tax Variations with the "Tax Offset" category would always fail due to incorrect validation of the Option field. Tax Offset variations now import correctly.

Leave

Leave projections stale after pay run publish

Fixed an issue where leave accrual projections were not updating correctly after a pay run was published, causing stale balances to display on the leave balances screen. Balances now reflect the correct state after publish.

Platform

Unable to update Employee Number via Workbook Import

Resolved an issue where attempting to update an employee's number via the Employee Workbook import would fail with a "does not exist" error, because the import process was validating against the new number before applying the change. Employee Number updates via workbook import now process correctly.

PDF reports — alternating row colour restored

Restored the alternating row background colour display in PDF reports, which had been lost in a prior release. All PDF reports now display with the correct row formatting for easier readability.

Onboarding — archived compliance types no longer selectable

Fixed an issue where compliance types that had been archived were still appearing as selectable options when creating a new onboarding. Only active compliance types are now displayed.

Onboarding approval screen — incorrect display when super details not provided

Resolved an issue where the onboarding approval screen showed confusing information when a candidate did not provide their superannuation details during onboarding. The screen now correctly reflects that super details were not supplied.

Onboarding approval failure with cross-organisation employee number conflict

Fixed an issue where onboarding approval would fail in multi-organisation instances if the newly generated employee number matched an employee in a different organisation marked as "Not paid via EFT". Validation is now correctly scoped to the current organisation only.

API validation for employee department and location assignments

Enhanced the employee department and location assignment API endpoints to enforce validation that the employee, department, and location all belong to the same organisation, preventing data integrity issues that could impact reporting.

Application startup stability improvement

Resolved an initialisation timeout issue affecting some environments that could cause HTTP 500.37 errors on startup.

What’s New - Access Evo:

Platform

User management for Evo-enabled instances

Starting in this release, administrators on Evo-enabled Definitiv instances should now manage user details, including names and email addresses through the Members section of their Evo Organisation, rather than through the Definitiv User Listing screen. Changes made in Evo will automatically propagate through to Definitiv.

Administrators will need either an Admin organisation role in Evo, or a Custom Evo role with permission to edit user details. HelpCentre article

Note: When updating a user's email address, their active session will eventually be terminated, and a confirmation email will be sent to the new address to finalise the change. Access Identity MFA settings do not carry over to a new email account and must be configured again.
