April 2025 - Access Definitiv v3.17

The Access Definitiv 3.17 release introduces a wide range of enhancements to many areas of the software, including Rostering, Payroll, and a range of other changes.

These enhancements have been introduced to add additional functionality and features for all users.

Rostering

Project Based Rostering

In V3.17, we are adding our second option to restrict which employees can be added, viewed, and managed within a roster. Roster Managers (as assigned on the roster) will now have the ability to manage rosters based on a chosen project, restricting the roster to show only the staff who can work in the selected project.

This functionality is controlled through a setting on the roster, allowing it to accommodate both Line Managers and centralised Roster Managers who require visibility and control over employees working a specific Project.

Notifications on Roster Publish

  • Email notifications can now be sent to employees for shifts that do not require acceptance or denial when a roster is published.

    • This also includes the ability to send notifications when a shift has been updated.

    • Push notifications will be released in an upcoming mobile application update.

Employee

  • Resolved the intermittent issue of the Leave Approval email displaying the Status as Pending.

  • Bank Accounts validation has been updated to between 4-9 digits in Employee Bank Accounts, Onboarding Bank Accounts, SMSF Bank Account, Organisation Bank Account.

  • Employee Pay Policy rate will display the value as of the cease date of the assignment on the Company Pay Policies.

  • Employee Number changes will not require an update event if the pay calendar is set to ‘Not Lodged’.

  • Calculation on custom Part Time salary pay policies is now correct.

Reporting

  • The Privacy Statement will be displayed when exporting the Employee Workbook.

  • The View option is available on STP Audit files to reduce the requirement of downloading files containing Personally Identifiable Information (PII).

  • Fixed the issue causing data to disappear when enabling Global on the Time Attendance Report.

Payroll

  • Rectified the issue when an award would not calculate partial leave hours on an overnight shift, and the partial application starts on the next day, and there is no scheduled entry on the following day, and the apply max was set as Scheduled Hours.

    • Important: Backpay will be calculated if this issue impacted you. Please review in case the incorrect Leave was calculated/deducted.

  • Whole of Income will take into consideration any payments made in the current pay period

    • Important: Backpay will be calculated if this issue impacted you and the terminated employee is included in a payrun.

  • The Pay Run will not crash if there is no Pay Calendar Effective Date and no Employment Record for an employee

Changes in other areas

  • Definitiv Logos are updated.

  • Validation was introduced to prevent duplicate Project Work Orders.

  • Award Policy Import and Export will handle the case when there is the same Leave Reason on multiple leave types.
