The STP Batch Error Feed is a notification system within Definitiv that alerts payroll managers when there are errors in Single Touch Payroll (STP) submissions to the Australian Taxation Office (ATO). This feed is one of a collection of Definitiv Evo feeds designed to provide proactive notifications about issues that require immediate attention.

What triggers this feed?

This feed is automatically triggered when:

  • An STP submission to the ATO returns batch errors.

  • The errors are identified through Beam/Update Events Action processing.

  • Individual employee records within a payroll submission encounter validation or processing errors with the ATO.

Who receives this feed?

This feed is specifically designed for Payroll Managers and users who meet both of the following criteria:

  • Listed in ATO Lodgement Notification Settings: You must be included in the notification list within the ATO Details configuration in Definitiv.

and

  • Manage STP Update Event Permission: You must have the Manage STP Update Event permission in Definitiv.

Multiple people can receive these notifications if they have appropriate organisational access to the affected payroll databases.

How to configure notifications

To receive STP Batch Error feeds, ensure:

  • ATO configuration: Your user email address is added to the ATO Lodgement notification list in the ATO Details Tab configuration settings.

  • Permission assignment: You have been granted the Manage STP Update Event permission in Definitiv.

  • Contact your administrator: If you believe you should receive these notifications but are not, contact your Definitiv system administrator to verify both your Beam notification configuration and permission settings.

What information is in the feed?

When an STP Batch Error occurs, the feed notification includes:

  • Feed Header: STP Submission has Batch Errors.

  • Information about the specific STP submission that encountered errors.

  • A clickable View Results link that takes you directly to the Pay Run Details page of the affected pay run.

What to do when you receive this feed?

When you receive an STP Batch Error notification, follow these steps:

  1. Immediate Review:

    • Click the provided link to navigate directly to the impacted record or payrun.

    • Review the specific error details to understand what caused the submission failure.

  2. Identify the Issue:

    • Common STP batch errors may include:

      • Missing or incorrect employee tax file numbers (TFN).

      • Invalid superannuation fund details.

      • Incorrect employment termination dates.

      • Missing mandatory payroll information.

      • Data format or validation errors.

  3. Correct the data:

    • Update the impacted employee record with the correct information.

    • Ensure all mandatory fields are completed accurately.

    • Verify that tax file numbers, superannuation details, and employment information are current.

  4. 4. Resubmit if necessary:

    • After correcting the data issues, resubmit the STP information for the affected pay run.

    • Monitor for any additional error notifications.

    • Ensure the corrected submission is successful.
