The Super Refund Feed is a notification system within Definitiv that alerts payroll managers when superannuation refunds are received from Beam (Super Clearing House) after submission. This feed is one of a collection of Definitiv Evo feeds designed to provide proactive notifications.

What triggers this feed?

The Super Refund Feed is automatically triggered when:

  • Beam (Super Clearing House) processes a superannuation refund and sends notification back to Definitiv.

  • A refund response is received for a previously submitted superannuation batch.

The refund requires review and potential reprocessing through Beam/Update Events Action processing.

Who receives this feed?

This feed is specifically designed for Payroll Managers and users who meet both of the following criteria:

  • Listed in Beam Notification Settings: You must be included in the notification list within the Beam (Super Clearing House) configuration in Definitiv.

and

  • Manage Superannuation Batch Payments/Edit Employee Super Permission: You must have the relevant superannuation management permissions in Definitiv.

Multiple people can receive these notifications if they meet both criteria and have appropriate organisational access to the affected superannuation batches. The default configuration typically sends notifications to the person who submitted the original superannuation batch.

What information is in the feed?

When a Super Refund is received, the feed notification includes:

  • Feed Header: Super Refund Received.

  • Information about the specific superannuation refund received from Beam.

  • A clickable link that takes you directly to the affected Super Batch that requires attention.

What to do when you receive this feed?

When you receive a Super Refund notification, follow these steps:

  1. Immediate review:

    • Click the provided link to navigate directly to the impacted Super Batch.

    • Review the refund details to understand why the superannuation payment was returned.

  2. Identify the Refund Reason

    • Common reasons for superannuation refunds may include:

      • Incorrect superannuation fund details (ABN, USI, or account numbers).

      • Invalid employee member numbers.

      • Closed or inactive superannuation accounts.

      • Employee no longer associated with the fund.

      • Contribution amounts that exceed limits or regulations.

      • Fund processing errors or technical issues.

  3. Correct the data:

    • Update the affected employee's superannuation details with the correct information.

    • Verify that fund details, member numbers, and contribution amounts are accurate.

    • Check that the superannuation fund is still active and accepting contributions.

    • Ensure all mandatory superannuation information is complete and current.

  4. Complete the repay process:

    • After correcting the data issues, complete the repay process for the affected superannuation amounts.

    • Resubmit the corrected superannuation payment through Beam.

    • Monitor for successful processing confirmation.

    • Ensure compliance with superannuation guarantee deadlines.

  5. Follow up:

    • Verify that the resubmitted payment is accepted by the superannuation fund

    • Check that no additional refund notifications are generated.

    • Update employee records with any changes made during the resolution process.

    • Document any systemic issues for future prevention.

Configure notifications

To receive Super Refund feeds, ensure:

  • Beam Configuration: Your user account is added to the notification list in the Beam (Super Clearing House) configuration settings.

  • Permission Assignment: You have been granted the "Manage Superannuation Batch Payments/Edit Employee Super" permission in Definitiv.

If you believe you should receive these notifications but are not, contact your Definitiv system administrator to verify both your Beam notification configuration and permission settings.
