This article describes the process to follow when you receive your individual Invite to upgrade to the enhanced Evo Experience email from Access. The process is part of the overall move to Access Definitiv Evo and is quick and straightforward, typically taking just a few minutes to complete.
Note: The link in the Invite to upgrade... email expires in 24 hours so complete the process promptly.
Once completed:
Continue to launch Access Definitiv via your usual company Definitiv URL
(Unless you use a company single sign on) use your new Access Identity username and password to log in. You'll set this up in the migration process below. After migrating, you will not be able to log in with your old credentials.

If you have any issues during the migration process, contact your system administrator. If you are a named support contact you can also raise a case and the Support team will assist. Keep your invitation email until your finished your migration.
Migrate to Definitiv Evo
The migration process differs slightly depending on whether you are an existing user or a new user being added after the Evo migration has been activated.
Existing users
Your migration begins when your organization's Access support team enables the Evo integration feature for your database.
All active existing users (as of the migration date) will automatically receive a migration email. By actioning the email, their Access Evo account will be created.
Terminated employees will NOT automatically receive invitations (though they can be manually invited if needed for access to pay slips).
To migrate to Definitiv Evo:
We'll send you an email with the subject line Invite to upgrade to the enhanced Evo Experience. The email contains a unique embedded link for your account setup. The link expires in 24 hours. If your link expires, ask your system administrator for a new invitation.
Click the link in your invitation email. The link is unique to you so don't use someone else's email link.
The Access Identity Migration Wizard opens in your browser.
You'll see two options. Select It's my first time signing into Access Workspace
If you already have an Access Evo account (previously called Access Workspace), select I've previously signed into Access Evo.
If you're not sure, select the ...first time... option.
Click Next to continue.
If you are not using a company single sign on, create a strong password for your Access Identity account and then click Set my password.
A confirmation message is displayed indicating your account has been successfully set up. This means:
Your Access Identity account has been created.
Your organization's admin can see you in the Access member list.
You're granted appropriate product access permissions.
If your organisation requires two-factor authentication for Definitiv, you'll be prompted to enter your 6-digit verification code. (This is the same 2FA you currently use with Definitiv.)
Click Go to Access Definitiv.
The system logs you in using your new Access Identity credentials and launches Access Definitiv with the new Access Evo button at the top of the screen.
From now on, continue to launch Access Definitiv via your usual company Definitiv URL. However, if you do not use a company single sign on, you must use your new Access Identity username and password to log in. You will not be able to log in with your old credentials.
That's it. You're ready to start using the new Access Evo features in Definitiv.
