Previously, inactive or expired compliance records required for an employee to work a shift would show as warnings in the roster, but rosters could still be published even if employees were non-compliant.
While this option remains in place for non-mandatory compliance types, with mandatory compliance types, if an employee is non-compliant, this will block the roster from being published. This new option provides greater control over preventing non-compliant operations.
The Roster Manager must then follow up with the employee to provide evidence of a current compliance record, or they will need to replace the employee for their shifts.
Configuring Mandatory Compliance
To set up a compliance type as mandatory, navigate to the following:
Navigate to Admin, Structure, Role, or Project.
Open the Compliance tab.
In the Compliance tab, check the Mandatory for Rostering checkbox for the relevant compliance type(s).
Click Confirm to save changes.
Updating Multiple Compliance Types
If you need to update compliance types for multiple roles or projects, use the Admin workbook.
The Admin workbook can be accessed via Admin, Miscellaneous, Data Import/Export, Admin Data.
How Enforce Compliance works in the Roster
Once set up, mandatory compliance functions as follows in rostering:
Shift Issue Alert
Alerts appear on shifts with mandatory non-compliance issues, making users aware of problems.
The alert message specifies the mandatory compliance issue and the non-compliant record(s).
Shift Issue Message
When a shift is open, navigate to the Issues tab to view detailed information about the mandatory non-compliance issue.
Published Drawer Issue Message
If mandatory compliance issues are missed during roster coordination, they will be displayed in the publish drawer to alert the Roster Manager.
Blocking Roster Publishing
If mandatory compliance issues remain unresolved, the roster cannot be published until these are addressed.
Standard Non-Mandatory Compliance Warnings
Compliance types not marked as mandatory will continue to show as warnings in the roster if employees are non-compliant. These warnings will not block roster publishing.
Push and email notifications, as well as reporting on expiring compliance records, remain unchanged for both mandatory and non-mandatory compliance types.
Important Considerations
Existing Rosters:
Rosters and shifts published before a compliance type is set as mandatory will remain unaffected.
Mandatory compliance issues will only impact shifts in a draft state
Edited Rosters:
If an already published shift with a mandatory compliance issue is edited and moved to a draft state, the mandatory compliance rules will then apply.
