Roster Managers can choose specific compliance records held by employees to display directly in the roster. This new visual addition helps ensure that rosters and workforces comply with organisational and legal requirements.
To take advantage of this new capability, you must have the Compliance module enabled and the applicable feature flags turned on.
Configure Compliance Types to Display in the Roster
Not all compliance records are critical for operations or relevant during rostering. A customer can configure which compliance types a Roster Manager can see in the roster by following these steps:
Navigate to Admin, Configuration, Compliance Types.
Edit a Compliance Type:
Add a Shortcode, such as an acronym for the compliance type, with a maximum of four characters. For example, you could use "WWCC" for Working With Children Check.
Save Changes.
Go to Admin, Configuration, Organisation Settings, Rostering tab.
Update the Compliance Types Section:
Add the relevant compliance types that have shortcodes defined.
The compliance types listed in this section are now available to display in a roster.
How it works in the Roster
Displaying Compliance Information
At the roster level, Roster Managers have additional flexibility to control what compliance information is visible. Compliance records can be viewed using two controls available in the Filters and Display Options Drawer:
Display Options Tab
Determine whether compliance information should be shown or not in the roster.
Compliance Filters Tab
Select specific compliance records to display based on operational and roster requirements.
Printing Compliance Information
Based on what compliance records you have chosen to display in the roster. These will also show up in the printed version of the roster.
Compliance Information Shown for Employees
When Does Compliance Show for an Employee?
A compliance record will only display for an employee on a shift only if:
The compliance type exists on the employee’s master record and is active on the date of the assigned shift; AND
The compliance type is in a verified state (e.g., not in a draft state if verification is required).
Visual Indicators for Compliance Records
Next to each compliance type listed for an employee on a shift, a small coloured circle provides a visual indicator of its importance:
Red Circle: Indicates that the compliance type is mandatory for the employee to work the shift.
Yellow Circle: Indicates the compliance type is non-mandatory for the shift.
These colour codes help you quickly identify which compliance records are critical for your business operations. For more information on mandatory compliance, refer to our Mandatory Compliance content.
