Award Grouping Rules

Introduction

Award Grouping Rules in Award Policies enable multiple timesheets to be linked to the same shift. This linked or grouped shift will then be treated as a single shift when passed down into the Award Rules section of the award policy for processing.

This new processor is designed to link timesheets to support rules in relation to broken and/or split shifts.

How it works

The Award Grouping Rules section is one of the first sections in the award policy screen. This is because timesheets first need to be linked to a shift, as per the rules set within the Award Grouping Rules section, before a shift can be passed down to be processed by the conditions within the Award Rules section.

The sections within an award policy version are as follows;

  • Award Version Details

  • Award Grouping Rules

  • Pre-Processor Rules

  • Award Rules

Configuration

The following IF or condition rules can be used singularly or combined to link shifts;

  • Shift Types - This rule enables specified types of shifts to be merged to create one shift.

  • Time of Day - This rule could be used to group timesheets that commence on a specific day, e.g., group any timesheets that commence on a specific day by setting the parameter to between 12.00am and 12.00am. This will help prevent timesheets from multiple days being grouped.

  • Time Since Previous Entry - This rule will allow you to specify up to what hours in between work to group or not group timesheets as one shift, e.g., group shifts with a break of less than 2 hours.

The following THEN or action rule is used to merge the timesheets that meet the above conditions into a shift;

  • Merge Into Shift

Example

Using the below rules as an example, any timesheet where the break between the end of a timesheet and the start of the next timesheet is within 30 minutes is to be grouped into one shift.

Based on this rule, the timesheet times below show the expected outcome;

The last timesheet would not be linked with the others, as there is more than a 30-minute break between 11:00am and 1:00pm.

In this scenario, the following shifts are to be passed down through to the Award Rules:

  • 07:00 – 11:00

  • 13:00 – 15:00

Note: The merged shifts will be used for any award interpretation. For example, if you configure a Time of Day start between 10:00am – 11:00am, no timesheet would be detected as the whole shift start has been merged to commence from 7:00am.
