April 2026 - Access Definitiv v3.27

Access Definitiv version 3.27 includes new features and enhancements to payroll, leave management, and the platform, along with various improvements throughout. We've also resolved numerous customer-reported issues to improve your experience.

What's new

Time and Attendance

Timesheet Status added to Timesheet Assets report

The Timesheet Assets report now includes a Timesheet Status column, giving managers and payroll administrators greater visibility into the approval state of timesheets directly within the report without needing to navigate to individual timesheet records.

Leave

Leave Calendar enhancements

A Filter option has now been added; this gives you the flexibility to only see certain Leave Types and Full Day vs Half Day applications.

Award

Apply Hours Modifier

The Apply Hours Modifier will also now support negative hour modifier calculations.

Top Up Public Holiday Worked to schedule time

A new Award rule action allows organisations to automatically top up hours worked on a public holiday to match the employee's scheduled time for that day.

This simplifies award configuration for organisations that require public holiday worked hours to be brought up to the employee's contracted schedule.

Platform

Add position assignment from the Employee Record Teams tab

Administrators can now add a new position assignment directly from the Teams tab of an Employee Record, without needing to navigate to the Team Hierarchies screen. This makes it faster to manage employee position assignments as part of everyday employee record maintenance. See Adding a Position Assignment via the Employee Teams tab

Notable fixes

Notable issues resolved in this release:

Time and Attendance

Timesheets not showing multiple Change Duty Events

Fixed an issue where timesheets were not correctly displaying/attaching multiple Change Duty events on the same shift, causing the events to become orphaned.

Break hours not deducted from ordinary time with partial day leave on overnight shifts

Resolved a calculation issue where break hours were not being correctly deducted from ordinary time when partial day leave was applied at the end of an overnight shift. This fix has only been enabled from the release date onwards. However, it may have caused overpayments in the past. If you wish to analyse whether any overpayments may have been made, please log a support ticket to organise this on your test environment.

Timesheet Output File link unclickable after successful upload

The output file download link can again be downloaded on the Data Import/Export page following a successful timesheet upload.

Team Timesheet employee dropdown collapsing on click

Resolved an issue where clicking the employee dropdown in the Team Timesheet view would cause the dropdown box to collapse to an unusably small size, preventing selection. The dropdown now opens and displays the employee list correctly.

Leave

Team Leave Calendar not displaying leave for employees without a work schedule

Leave applications will now be displayed for employees with no active work schedule.

LSL accrual using the original hire date instead of the rehire date for rehired employees

Resolved the issue where Long Service Leave accrual was incorrectly referencing the original hire date rather than the rehire date for rehired employees on entitlement period-based leave policies. Due to this change, employees' accruals will retrospectively adjust in the next payrun if the incorrect date was used. If you have already adjusted the amount manually, the automatic accrual adjustment lines will need to be removed from the payrun.

Backpay from Duty Leave

Fixed an issue causing incorrect backpay calculations when manual rate changes of Duty Leave were processed.

Leave History graph not displaying

Fixed an issue where the Leave History graph was displaying as empty even when leave records existed for an employee. The graph now correctly renders the employee's leave history.

Leave Calendar shows "No leave entries found" prematurely

Fixed an issue where the Leave Calendar loading indicator would disappear before the calendar had finished loading, briefly displaying a "No leave entries found" message even when leave entries existed. The loading state now persists until the calendar data is fully rendered.

Removed attachments still saving on leave submission

Fixed an issue where files removed from a leave application prior to submission were still being saved, resulting in unwanted attachments appearing on the leave record. Only files present at the time of submission are now saved.

Organisation / Team Hierarchies

Dragging a position in Team Hierarchies copies ceased assignees to new node

Fixed an issue where moving a position in the Team Hierarchies screen was incorrectly copying all historical assignees, including ceased employees, to the new node, creating invalid date ranges and triggering erroneous duplicate-employee validation errors.

Rostering

Incorrect notifications for work schedule rosters

Fixed an issue where employees were receiving notifications for pending rosters to accept, but the Pending Rosters screen appeared blank with nothing to action. The notification system now correctly excludes unaltered work schedule shifts, ensuring notifications only appear when there are genuinely actionable items.

Reporting

Audit Report broken under certain conditions/display limit not working

Fixed an issue where the Audit Report would fail to load under certain conditions and resolved a separate issue where the log display limit was not being applied correctly.

Pay Item Totals Report missing grid lines

Restored missing grid lines in the Pay Item Totals Report.

Payroll

Shift penalty is not applying correctly when break crosses midnight

Resolved an issue where, for overnight shifts containing a break that crosses midnight, shift penalty conditions were not being correctly evaluated against both halves of the shift. Penalty calculations now correctly apply across the full shift duration.

Redundant Leave type custom field removed from Award rules

Removed a redundant custom field for Leave type that was appearing in Award rule configuration, reducing confusion in the Award rule interface.

What's new - Access Evo

Platform

User management via Evo (Evo-enabled instances only)

From this release, the Definitiv User Listing screen and user management via Workbook Import are restricted for Evo-enabled instances. User management is now performed through the Evo Organisation Members Management section. This continues the transition introduced in 3.26, where name and email address updates moved to Evo.
