TimeClock Device Level Timesheet Custom Fields Toggle

The Definitiv TimeClock app (both iOS and Android versions) now includes a new device-level setting that allows administrators to control the visibility of timesheet custom fields for all employees using that specific device.

This new setting allows administrators to enable or disable the visibility of timesheet custom fields at the device level, providing centralized control without relying on individual user-level permissions.

How to Configure the Settings

The configuration process varies depending on your device platform:

iOS Configuration

Location

The toggle setting is located in:
iPhone General Settings → Apps → Timeclock → Admin Mode → Enable Custom Fields

Configuration Steps

  1. Access Device Settings

    • Open iPhone Settings

    • Navigate to Apps section

    • Select Timeclock app

  2. Enter Admin Mode

    • Locate and select "Admin Mode"

    • Enter admin credentials if prompted

  3. Toggle Custom Fields Setting

    • Find "Enable Custom Fields" toggle

    • Set according to your requirements:

      • ON: All Custom fields will be visible to all employees clocking in/out on the device

      • OFF: All Custom fields will be hidden from all employees clocking in/out on the device

Android Configuration

The toggle setting is located within the TimeClock app settings screen, displayed as a new option in the Settings panel.

  1. Access TimeClock App Settings

    • Open the Definitiv TimeClock app on your Android device

    • Navigate to the Settings or Admin section within the app

  2. Locate Custom Fields Toggle

    • Look for "Enable Custom Fields" or similar toggle option

    • This setting appears at the bottom of the current settings list

  3. Configure the Setting

    • Toggle the setting according to your requirements:

      • ON: All Custom fields will be visible to all employees clocking in/out on the device

      • OFF: All Custom fields will be hidden from all employees clocking in/out on the device

Default Behaviour

The "Enable Custom Fields" toggle is turned ON by default on both platforms, which means:

  • Users can view and input details for all custom fields by default

  • No immediate changes to existing functionality upon app update

  • Administrators need to manually disable if custom fields should be hidden

When to Enable Custom Fields (Toggle ON)

Important Notes

Device-Level Control

  • This setting applies to all employees using the specific device

  • Individual user permissions are not checked in TimeClock

  • Each device can be configured independently

  • Changes take effect immediately after toggling

Functionality Impact

  • When disabled, custom fields are completely hidden from the time clock interface

  • All other TimeClock functionality remains unchanged

  • Standard time in/out, break tracking, and core features continue to work normally

  • No impact on data already collected with custom fields
