Standard Timesheet Import Instructions
Navigate to Admin, Miscellaneous, Data Import, Timesheet.
Select the commencement date – being the start date for the relevant payroll you are completing
Select the cease date – being the end date for the relevant payroll you are completing
Select Download – this will provide you with the exact format the import is required in to upload back into Definitiv. Note: The import is extremely particular the data needs to match exactly to what is in Definitiv to upload.
Please note all employees are in this export – you will need to extract the relevant employees for the pay period you are completing.
The role column will need to detail the role as depicted in Definitiv exactly – this should always be the employees’ primary role, if not completed this will default to their primary.
Enter relevant shift types if any required.
If it is a Public Holiday and the employee has worked for that date enter Yes in the public holiday worked column if not enter No.
Start Time and Finish Time should always be in the correct format e.g. 13:30:55.
There is no need to enter break information
There is no need to enter any task information
Complete any required custom fields on the import for employees. Custom fields can be items that drive payments such as training or allowances. Please check this import thoroughly prior to even attempting to import once this information is in successfully it cannot be undone.
Development can remove this however it is chargeable at $300.00 per hour. If you import this more than once it will cause all timesheets to then duplicate and can then cause issues with double payments in the pay run.
To import the timesheet import you will need to navigate back to Admin, Miscellaneous, Data Import and select upload attachment in the timesheet data import field.
Once you select a file the import commences immediately. If successful a green message will appear noting the import was successful. If there are any data issues they will be detailed in red, and you will need to correct all of the issues prior to attempting to import again. Please note if there are data issues in red the import has not been successful, and no timesheets whatsoever have been successful.
Once successful all timesheets will need to be approved under Pending Requests, Timesheet Approvals.
