Employment Status in selected PDF Reports

An Employment Status field has been added to the following PDF reports;

  • Payroll

  • Comparison Summary

  • Comparison Detailed

  • Entitlements

These reports are available under Reporting, PDF Reporting.

This field shows the employment status from the employee’s primary role on their master record. It has been added to these reports to make the payroll review process simple for payroll officers.

How it works

As mentioned above, the employment status shown for an employee is based on the primary role on their master record. However, there is further logic in place regarding what is shown in the Employment Status field;

  • Primary Role: The report shows the employment status of the primary role in effect for the reporting period. Payroll based reports use the employment status of the primary role in effect at a pay run’s cease date. Furthermore, if an employee is included in a pay run prior to their hire date, it will show the employment status of the primary role in effect at their hire date.

  • No Primary Role: If the employee has not had a primary role assigned on their master record, their employment status will show as “No Primary Role”.

  • Multiple Primary Roles: If an employee has overlapping primary roles in effect at a pay run’s cease date, it will show as “Multiple Primary Roles”. This is designed to help pick up any issues that need to be fixed as part of the payroll review.

  • Terminated: If an employee is included in a pay run within the report and they are terminated at the pay run’s cease date, it will show their employment status as “Terminated”.

Important Information

The employment status shown in these reports is purely based on the employee’s master record. If the employment status for the employee’s primary role changes after a pay run is processed, it will show the status as per the master record. For example, Sarah’s primary role of Administrator is set as “Part Time” from 1 March. The pay run for March is then processed and published. Sarah’s Administrator role is edited to a “Full Time” status. When running the Payroll report for March, Sarah’s employment status will show as Full Time.
