Introduction
From version 3.13, the option to select Pay Policy Rate Type as a rule in a Mandatory Timesheet Policy was introduced.
For general information on the Mandatory Timesheet Policy feature, please see the article here.
The addition of the Pay Policy Rate Type rule option was developed to cater for the simple scenario of an employee only having one pay policy and it being applied to their master record.
The pay policy applied can be global or custom.
However, technically, it can support an employee with multiple pay policies and pay policies applied in all other areas of the product.
Example
Only employees with an hourly pay policy are required to submit timesheets under the current Mandatory Timesheet Policy.
Bob is in a permanent part-time role as Administration Officer. He has a custom salary-based pay policy on his master record under the Pay Policies tab. His work scheduled days are Monday through Wednesday.
Via rostering, he is sometimes rostered onto a casual Support Officer role on a Thursday and Friday.
The global pay policy of “Level 4 - pay point 2” is applied to the role under Structure, Roles, Support Officer, Policies, Pay Policy. This pay policy is hourly based.
For shifts that Bob is rostered on as in the Support Officer role of Thursday and Friday, he will show up under Unsubmitted Timesheets. He will also need to submit timesheets for these shifts to be paid for them.
He will not need to submit timesheets for his standard Monday through Wednesday shifts.
What is Pay Policy Rate Type?
The Pay Policy Rate Type is the Base Rate Type set in a pay policy. A pay policy can be set up globally under Admin, Policies, Pay Policies.
A custom pay policy can also be created at the employee master record level.
What happens if an employee is scheduled with different pay policies?
Whether a timesheet is required to be submitted depends on what Project or Role is defined on the scheduled shift.
If an employee can be paid across multiple pay policies, Access Definitiv prioritises pay policies in the following order;
Pay policy applied on the Employees tab of a Project
Pay policy applied on the Roles tab of a Project
Pay policy applied on the Policies tab of a Project
Pay policy applied on the Role tab of the Master Record
Pay policy applied on the Role (under Structure)
Pay policy applied on the Pay Policy tab of the employee’s master record
