October 2026 - Access Definitiv v3.33

The updates below will be available in Access Definitiv from Thursday 29 October (SaaS) and Friday 30 October (Outsourcing).

Welcome to the V3.33 release notes. This version adds new options for deduction pay items, rostering, and Single Touch Payroll (STP) Award Transport payments, plus fixes across pay runs, superannuation, timesheets, leave, rostering, reporting, and onboarding.

What's new

Reduce Qualifying Earnings on deduction pay items

Deduction pay items now include a Reduce Qualifying Earnings checkbox. You can set this option directly on the pay item.

Roster permissions

The new [New/V3 Rostering Add Rosters] permission allows Roster Managers to add a new roster for employees who are not in their charge.

This permission is turned on automatically if you have any of the following permissions:

  • [New/V3 Rostering] Manage Roster Options.

  • [Legacy/Team Rostering] Manage Rosters.

  • Manage Rosters Templates.

STP Award Transport payment

To support the Fairwork Award Transport changes effective 1 October 2026, the Award Transport STP category has been removed from the Payment Type listing.

The other category now includes the following subcategories:

  • General.

  • Home Office.

  • Non-Deductible.

  • Transport or Fares.

  • Uniform.

  • Private Vehicle.

  • Pay Item Description.

Leave approval reset

If an employee modifies a pending leave request before it is fully approved, approvers will see the updated leave details. The approval workflow then resets. Where there are multiple approvers, the modified request restarts from the first approver.

📌Note: This behaviour was changed in September.

Fixes

Pay runs

  • The Pay Run Backpay tab now appears straight away after recalculation whenever backpay exists. A page refresh is no longer needed.

  • The Pay Run Excel export now includes only employees who are in the pay run.

  • Protected Earnings Child Support Deduction pay items are now reduced consistently when multiple deductions are processed and only one of the two items is adjusted. Both items are reduced correctly, with the smallest deduction offset first. If the amounts are equal, the pay item name decides the order.

  • External Transaction deduction imports will no longer create $0 backpays for prior periods.

  • Qualifying Earnings screens and reports now display payment dates based on the pay run's current payment date. Any change to a pay run's payment date after calculation is therefore reflected everywhere. Records are also sorted by this current date, so the order stays correct after an edit.

  • The award engine now uses the employee's primary location, instead of the costed location, for Public Holidays. This change is date driven, and no backpay calculation will occur.

Superannuation and employee data

  • Superannuation batch payments now resolve pay runs within the correct organisation.

  • Invisible characters are no longer saved in an employee's super member number. They are removed when the number is saved.

Timesheets and leave

  • Timesheet updates now save successfully when a mandatory time-based custom field has no stored value. Previously, these updates failed with an error.

  • The Leave Approvals Report now shows the correct projected leave amount for part-day leave when Payment Status is Projected. Previously, the report showed part-day leave as a full day.

  • Team Timesheet and Team Leave employee listings now load all employees across pages.

Rostering

  • The Position field has been removed from roster entries.

  • Rostering time and attendance queries now perform better.

Reports and performance

  • Several reports now load faster and use fewer resources. These include:

    • Audit Summary.

    • Time Attendance.

    • Employee Role Assignments.

    • Rostering.

    • Accrual Movements.

    • Entitlements.

    • TimeClock Status.

    • TimeClock Variance.

    • Employee Pay Items.

    • Pay Run Comparison Summary.

    • Costing Reconciliation PDF.

    • Roster qualification summaries.

Onboarding and navigation

  • You can now submit a new employee's onboarding after navigating back through the wizard. Previously, the Submit button could remain disabled and block submission.

  • Employee Document Management now displays current documents when Show Current is ticked. Previously, the list appeared empty.

  • On the Project screen, the Employees dropdown now shows a (Terminated) label on terminated employees.

  • Scheduled leave queries no longer return an error when a work schedule's start date falls after the period being queried.
