Assign work schedules

Overview

Work Schedules can be used to process payments to employees if Mandatory Timesheets are not enabled. They are also used to calculate leave hours to be processed and may be referenced in the Award Policy to determine whether an employee is scheduled or not.

Navigate to Employees Work Schedule

  1. Select Employees or

  2. My Team, My Team, and click First Name or Surname of the relevant employee.

Note: Menu Employees may also be named My Team if you have direct subordinates.

Cease Existing Work Schedule

  1. Select Edit on the current work schedule.

  2. Click the icon on the cease date field and select the end date of the schedule.

  3. Select Save.

Note: A work schedule can be changed at any point within a pay period.

Assign System Work Schedule

  1. Select Assign, Work Schedule.

  2. Using the drop-down menu, select the relevant Work Schedule and enter the commencement date of the new schedule.

  3. If the employee commences halfway through a schedule, use the Work Schedule period, then start to navigate where in the cycle it commences.

Example:
The new work schedule commences on 23/10/2017 on the 7 Nights portion of the cycle. By entering the work schedule period date of 15/10/2017, the schedule commences on 15/10/17 but does not become active on the employee's record until 23/10/17.

Assign Custom Work Schedule

Custom work schedules are for employees who work a schedule unique to themselves. If you have an employee who works Monday/Tuesday/Wednesday and another employee who works Wednesday/Thursday/Friday, a company work schedule can be created, and the commencement date and/or work schedule period start date to shift the alignment of the work schedule.

  1. Select Assign, Custom Work Schedule.

  2. Enter commencement date, description of the schedule, cycle days – this is the number of days it takes to finish a cycle. So if an employee works 4 days week 1 and 3 days week 2, it would take 14 days for the cycle to complete.

  3. Tick whether Public Holidays are Worked By Default and whether you want the schedule to be Start and Finish Times or Duration based.

  4. On the first day of the cycle, click Options and Add Time.

  5. Enter the duration and breaks if this is how your company has been configured.

  6. Click Confirm.

  7. If the next day matches the previous you can select Duplicate Previous. Otherwise, enter the rest of the days as per the previous step.

  8. Add Leave is for organisations who utilise Rest & Recreation days as a part of the cycle/swing.

  9. Once all days have been entered click Create.

  10. The calendar will update to show the change in schedules.
